How fees work

Fees quoted upfront. In writing. Before work begins.

Every engagement is different, so we quote after we understand what you need. You know the scope, the timeline and the fee before we start — and if the scope changes, we talk about it first.

How much do Your Virtual CPA services cost?

Fees depend on the service, scope and complexity of your organization. We charge transparent, fair fees quoted upfront after a short call, and agree them in the engagement letter before work begins.

    How a quote works

    Step 1

    A short call

Tell us what you need and why. We ask a few questions about your size, deadlines and records.

    Step 2

    A written quote

We send a fee quote upfront based on the scope we discussed — before any work begins.

    Step 3

    An engagement letter

Scope, timeline and fee are agreed in the engagement letter, so there are no surprises on your invoice.

    What drives the fee

The main factors we look at for each service, and what the fee covers.

    Fee depends on

    • •Type of engagement — audit, review, compilation, agreed-upon procedures, or SOC report
    • •Reporting framework and standards (GAAS, Yellow Book, Uniform Guidance, ERISA, AICPA SSAE)
    • •Size and complexity of operations, number of funds, programs or entities
    • •Number of major federal programs for a Single Audit
    • •Condition of your records and internal controls, and whether it is a first-year engagement

    Included

    • Planning, fieldwork and the CPA report
    • Required communications with those charged with governance
    • A clear list of what we need from you before fieldwork starts
    • Direct access to the CPA leading your engagement

    Fee depends on

    • •Monthly transaction volume and number of bank and credit card accounts
    • •Cash or accrual basis, and whether you need AP/AR support
    • •Number of entities, locations or classes you track
    • •Whether catch-up or cleanup work is needed first

    Included

    • Monthly reconciliation and categorization
    • Monthly financial statements
    • Tax-ready books at year end
    • CPA oversight

    Fee depends on

    • •How much hands-on time you need each month
    • •Scope — month-end close and reporting, forecasting, fundraising or board support
    • •Number of entities and complexity of your revenue model
    • •Whether bookkeeping is included or handled by your team

    Included

    • A defined monthly scope agreed in writing
    • Regular review calls on your numbers
    • Reporting built around the decisions you need to make

    Fee depends on

    • •Entity type and returns required (individual, 1120-S, 1065, 1120, 990)
    • •Number of states you file in
    • •Year-round planning versus annual preparation only
    • •Condition of your books at year end

    Included

    • Preparation and filing of the agreed returns
    • Estimated tax guidance
    • Help responding to routine IRS or state notices on returns we prepare

    Questions about fees

Every engagement is different. An audit for a nonprofit with one funding source is not the same work as a Single Audit with several major programs, and bookkeeping for a solo business is not the same as a multi-entity company. Rather than post numbers that won't fit, we charge transparent, fair fees quoted upfront after a short call.

The type of engagement and standards required, the size and complexity of your organization, the number of federal programs tested (for a Single Audit), whether it is a first-year audit, and how well-organized your records are. Good records and a clean trial balance keep fees down.

The fee is agreed in the engagement letter. If the scope changes — for example, a new federal program or an additional entity — we discuss it with you before doing extra work.

We learn about your organization, what you need and your deadlines, and tell you whether we are a good fit. If we are, we follow up with a written quote.
